How am I notified when I have a document to sign?

For every document you need to sign you'll receive a confidential e-mail that contains:

a short description of the document (is it a contract, a commitment letter, etc.)
the deadline for the signature completion
a link that allows you to view the document and sign it. You'll also receive an access code by text message, which allows you to access the document

Troubleshooting ⚠️

I didn't receive an invitation to sign a document. What should I do?

If you received a text message, which informed you that you have a document that needs your attention, but you didn't receive a corresponding e-mail, then:

Please check the SPAM folder in your mail box, the e-mail could be have been diverted there by mistake.
Then check that the e-mail address, specified in the text message, is correct.
If the above solutions have not helped, and you still haven't received an email, please click here to contact our support service.
It you were waiting for a document to sign from your employer but you didn't receive neither SMS nor an e-mail, please click here to contact directly our support service indicating your name, surname and the name of your employer.

Sign your first document with PeopleDoc

To sign a document you will need:

  • An access to your e-mail
  • Your cellphone to receive a signature code.

For every document to sign you receive an e-mail with:

  • Short description of the document (its type, etc.)
  • The expiration date for the signature

A link will let you to see the document and to choose to sign it or not

If your employer use SMS alert service, you will be also notified on your cellphone.

Once you click on the link from the e-mail, you will be redirected to the following page:

In the same time, you will receive an SMS notification with a code to sign your document.

Enter this code in the field “access code” and accept terms and condition.

This code is available during the limited time to read the document before signing it. If your code is expired, the new one will be sent to you automatically, without any request.

Note: There is also an option to receive the code from a vocal message.

Enter your new code and click on “Validate”.

You will access to the document to sign.

You have different view options for your document: all pages on the same page or view the document page by page.

Once you read your document, you can:

  • Sign a document
  • Refuse its signature

If you decide to refuse the signature of the document, the new window will be opened and you will be asked to explain your decision. This message will be send to your employer.

If you refused to sign a document, you receive a notification on your e-mail.

Sign a document via OpenTrust

You are given access to sign the document. The name, the type of the document and the signature delay is written under the document title. 

You have time to read the document before signing it. But if the signature delay is exceeded, the document will not be signed and will not be accessible.

When you are ready to proceed, click the “I have read this document and accept to sign it” (1) and click on “Sign the document” (2) boxes.

You can also decline the signature by clicking on “I refuse to sign the document” (3).

Sign a document via Docusign

To access to the document to sign (1), you need to check the general conditions of Electronic Records and Signatures use (2).

It is also possible for signer to:

  1. Sign the document at a later time
  2. Print it and sign the document manually
  3. Decline the signature of the document

When signing the document, you have the choice of signature style and the placement of the signature.

You have the ability to define the Signature Style (1) or to Draw the signature (2).

To place the signature, drag and drop the signature to the desired place in the document.

To finalize the signature, click “Finish”.

  • DocuSign Template Signature

The signature of a template with DocuSign allows you to fill out the document before signing it.

You are guided through the process of filling out the fields. (1). If the template was designed to include information pop-ups, these will appear by the fields. (2).

All mandatory fields are highlighted in red (3) and must be completed in order to sign the document.

The signatory can also fill out non-mandatory (4).

Some fields, like the Signature Date, may be designed to be filled in automatically (5).

Note: you cannot choose the signture placement in the document.

Once all mandatory fields are filled in,  you can click the button “Finish” to validate the signature of the document.

Do you use protocols to sign documents on PeopleDoc?

Yes, we use Xades-T technology to electronically sign documents distributed on your MyPeopleDoc account. This technology is fully compliant with the French law regarding information technology and electronic signatures of March 13, 2000.

Who should I contact if there are errors in the signed document? If you have questions regarding the signed document, or if you notice an error in the information, please contact your employer directly instead of the PeopleDoc help team as this is a matter of content as opposed to your service. 
Can I sign a document after the deadline of the signature completion period? No. In this case, please contact your employer immediately.
How do I get my access code to sign a document?

Your access code will be sent to you via text message, after you click on the link in your notification e-mail. The link will redirect you to a page where you will need to input a phone number in order to receive the text message. Please make sure you enter a valid phone number.

Once you enter the access code into the appropriate field, you'll be able to access the document and sign.

What is my file number and where can I find it?

You need your file number in case you encounter problems with the e-signature of a document. You will be asked for it if you contact your employer or PeopleDoc for technical support. 

You can find it:

  • In the notification e-mail you received about the new request for a signature
  • In the accompanying text message notification
  • Or at the top of all document pages related to this signature.

Troubleshooting ⚠️

I didn't receive a text message with my access code. What do I do?
Usually, you should receive a text message within five minutes, with a link to a page where you can sign the document electronically. If you still haven't received a text after ten minutes, please click here to contact us.
It is possible that the number that your employer gave us was wrong. Our support team will indicate you steps to follow in this case.
I see an "Error 500" when signing my contract, what should I do?

The "Error 500" is a message that appears when you try to sign a document that your employer sent you.

This message means that the current document has already been signed in the past. To fix this situation, you need to ask your employer to cancel the current signature, so that he can send you a new "blank" document that has not been signed in the past.

When I enter my access code, an "invalid code" message appears. What do I do?

If an "invalid code" message appears when you to access your document, it may be because:

  • You are using the wrong code - be sure you didn't make any mistakes while entering your code, which you should have gotten by text message 
  • You are using an expired code - the code expires 15 minutes after it is generated. You'll receive a new code by text message if you refresh the page and start over again.

What is the probative value of an electronic signature?

Signing a document electronically has the same probative value as signing a document traditional by hand. Your electronic signature and your employer's electronic signature are directly embedded in a PDF document. You can view it with Abode Reader.

How and when do I receive my signed document?

Once your employer signs the document and validates your signature, you will receive your document:

  • As an email attachment
  • Or in your MyPeopleDoc vault if you’ve activated it.
How will my signed document be sent to me?

It you have activated your MyPeopleDoc vault, your signed document will be automatically sent to your vault.

If you have not yet activated your MyPeopleDoc vault, your signed document will be sent to you by e-mail. The electronic signature is directly imbedded into the PDF file (its probative value is independent of the vault). However, if later, you decide to activate your vault, the document will be automatically delivered to the vault.

Can I print a document that was signed electronically?

You can print your electronically signed document using the "print" function in your e-vault.

Please note that only the original document (electronic version) has legal value: the electronic signature(s) of the document are included in the PDF document. The printed document will therefore only be a copy.

The possible mentions "Signed electronically by ..." are inserted on the document as an indication and do not have the value of an electronic signature. Only the document in PDF format contains valid electronic signature certificates.
